Your tasks:
As the central point of contact for the institute, you support the institute management in financial and administrative processes, coordinate events and ensure the smooth running of the institute's daily operations.
- Finance & Controlling: Support in budget and workload planning in close cooperation with the university's service departments, time bookings and controlling as well as preparation of financial reports
- Administrative Processes: Processing of creditor invoices, billing orders and credit card statements as well as coordination of administrative procedures
- Conferences & Events: Organisation and supervision of specialist conferences, planning of team events and meetings as well as support for internal events
- Hub Function: First point of contact for institute staff, support with organisational questions, involvement in onboarding new employees
Your profile:
To successfully fill this versatile position, you bring the following:
- Commercial vocational training EFZ with further training at the level of federal executive assistant or equivalent
- Several years of professional experience in a comparable role
- Great interest in financial topics as well as administrative processes
- Very good MS Office skills and affinity for digital applications
- Interest in social work, urban development, social planning and organisational change
- Service-oriented, independent and reliable working style as well as strong organisational skills
- Confident German language skills and good spoken English skills
